Common Print File Mistakes and How to Avoid Them

A great design can still produce disappointing results if a print file is not properly prepared. Many printing delays, unexpected costs, and quality issues can be traced back to avoidable file setup mistakes.

Understanding a few basic print file requirements can help ensure your project moves smoothly from design to production.

1. Low-Resolution Images

One of the most common printing problems is using images that are too low in resolution. Images that look acceptable on a computer screen may appear blurry or pixelated when printed.

For most commercial printing projects, images should be at least 300 DPI (dots per inch) at their final print size.

Before submitting artwork, verify that all photos, logos, and graphics meet resolution requirements.

2. Missing Bleed

Bleed is the portion of artwork that extends beyond the final trim edge of the printed piece. Without bleed, slight variations during trimming can result in unwanted white borders.

Most print projects require a bleed area of 0.125 inches (1/8 inch) on all sides.

Including proper bleed helps ensure clean, professional-looking results.

3. Important Content Too Close to the Edge

Even when bleed is included, important elements such as text, logos, and contact information should not be placed too close to the trim line.

A safe area helps protect critical content from being trimmed during production.

Keeping key elements at least 0.125 to 0.25 inches from the edge is a common best practice.

4. Using RGB Instead of CMYK

Digital screens display colors using RGB, while commercial printing uses CMYK inks.

Files created in RGB may print differently than expected, especially when bright or highly saturated colors are involved.

Whenever possible, artwork should be prepared in CMYK color mode to achieve more accurate print results.

5. Missing Fonts or Linked Images

Design files that contain missing fonts or unlinked images can create production delays and unexpected formatting issues.

Before submitting files, be sure to:

  • Outline fonts when appropriate
  • Package linked images
  • Export press-ready PDF files
  • Verify that all assets are embedded correctly
